1. Who this policy applies to

This policy covers visitors to chemcoach.ai, users of the ChemCoach web and mobile app at app.chemcoach.ai, and teachers who use ChemCoach to manage classes and assignments. When a school, district, or teacher invites students to ChemCoach, we act as a service provider to that institution and the institution’s policies and agreements also apply.

2. Information we collect

Account information

  • Name and email address you provide when creating an account.
  • Account type (student or teacher) and class membership where applicable.
  • Profile photo if you choose to provide one (e.g., via Google sign-in).
  • Authentication identifiers from sign-in providers (e.g., Google).

Learning activity

  • Quiz attempts, answers, scores, time spent, hints used, and streaks.
  • Topic and lesson progress, XP, ranks, and other in-app achievements.
  • Teacher-created assignments and class rosters.
  • Reports and analytics derived from the above for the teacher or student.

Communications with the AI Coach

  • Messages you send to and receive from the in-app AI tutor (“Coach Mode”).
  • Hint requests and the contextual question content sent with them.

Payment information (premium subscribers only)

  • Subscription status, plan, and order history. Card details are handled by Stripe; we do not store full card numbers on our servers.

Device and usage data

  • Browser/OS type, approximate location (from IP), and timestamps.
  • App diagnostic and crash logs.
  • Basic, aggregated usage analytics about which features are used.

3. How we use information

We use the information we collect to:

  • Provide, maintain, and improve ChemCoach and its features.
  • Show students personalized practice, hints, and progress feedback.
  • Let teachers assign work, view student progress, and manage classes.
  • Process subscription payments and apply credit-bundle balances.
  • Respond to support requests and operate the service safely.
  • Detect, prevent, and investigate fraud, abuse, or technical problems.
  • Comply with legal obligations.

We do not sell personal information. We do not use student data to build advertising profiles or to train third-party AI models outside the operation of the service.

4. Service providers we share with

We share information with a small number of vendors that help us run ChemCoach. These vendors are bound by contracts that limit how they can use the data.

  • Google Firebase / Google Cloud — authentication, database (Firestore), file storage, and web hosting. (privacy)
  • Stripe — subscription billing and payment processing. (privacy)
  • AI model providers — third-party large-language-model APIs that power the AI Coach hints and tutor chat. Messages and the question context required to answer them are sent to the provider to generate a response.
  • Email delivery — for account, billing, and support emails.

We may also disclose information if required by law, to protect the rights and safety of users, or in connection with a business transaction (e.g., merger or acquisition), in which case we will provide notice before personal information becomes subject to a different privacy policy.

5. Students under 13 and school use (COPPA / FERPA)

ChemCoach is designed for use in chemistry classrooms, which often include students under the age of 13.

  • When a school or teacher creates a student account, ChemCoach collects and processes student information solely on behalf of that school and for the educational purpose of providing the service. We treat student data as “school official” / educational-record data consistent with the Family Educational Rights and Privacy Act (FERPA).
  • We do not knowingly collect personal information from children under 13 for our own commercial purposes. Where applicable, schools provide consent on behalf of parents under the Children’s Online Privacy Protection Act (COPPA).
  • We do not show targeted advertising and we do not build advertising profiles from student activity.
  • Parents and schools may request access to, correction of, or deletion of student data by emailing us at the contact address below.

6. AI features and chat content

ChemCoach includes an AI tutor (“Coach Mode”) and AI-generated hints. When you use these features, your messages — along with the chemistry question or topic context needed to answer them — are sent to a third-party AI provider so a response can be generated. We do not allow the AI provider to use student or teacher content to train its foundation models.

AI responses can be incorrect, incomplete, or misleading, especially on advanced chemistry topics. They are intended to supplement, not replace, instruction by a qualified teacher.

7. Cookies and similar technologies

We use cookies, local storage, and similar technologies for authentication, to keep you signed in, to remember preferences, and to measure aggregate site usage. You can clear cookies in your browser at any time, though some parts of ChemCoach may not work correctly if you do.

8. Data retention

We retain account and learning data for as long as your account is active so that students can see their long-term progress and teachers can review prior assignments. When an account is deleted, we remove personal identifiers within 30 days, except where we need to retain limited records for legal, billing, or fraud-prevention purposes. Aggregated, de-identified data may be kept indefinitely to improve the service.

9. Your choices and rights

  • Access, update, or correct your account information from within the app.
  • Delete your account by emailing the address below; we will confirm the request.
  • Depending on where you live, you may have additional rights under laws such as the GDPR (EU/UK) or CCPA/CPRA (California), including the right to access, port, or delete personal information and to object to certain processing. To exercise these rights, contact us.
  • For school-managed accounts, please coordinate requests with your school or teacher first; they administer the account on your behalf.

10. Security

We use industry-standard safeguards — including encryption in transit (HTTPS), role-based access controls, and reputable cloud infrastructure — to protect the information we collect. No system is perfectly secure, so we cannot guarantee absolute security. If we discover a breach affecting your personal information, we will notify you as required by law.

11. International users

ChemCoach is operated from the United States. By using the service from outside the U.S., you understand that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.

12. Changes to this policy

We may update this policy from time to time. If we make material changes, we will notify you by email or with a prominent notice in the app before the changes take effect. The “Last updated” date at the top of this page always reflects the most recent revision.
